Pearl will let you manage large amounts of data with ease using the Advanced Product Manager (APM), or with the spreadsheet import/export tool.
Advanced/bulk product management
Pearl will allow you to edit the properties of a list of products at once, without going through the spreadsheet export/import process. Click Products->APM to display the advanced product management screen.
The Pearl Advanced Product Management tool is a way to edit the properties of multiple products at once, and a way to create Purchase Orders dependent on current stock levels.
A list of products can be shown, browsing by supplier, brand or searching name/SKU.
With the displayed products you can create a Purchase Order, add a supplier to the list of suppliers for the product (products can have multiple suppliers), update the alert level (the minimum level of stock you like to keep) and so on.
You can see which of the products is already on a Purchase Order, and when that PO is due to arrive.
Creating products by spreadsheet
When you need to create a large number of products at once, you can import a Excel spreadsheet of products. Click Products->Import/Export to see the column format required.
Notes – for Pearl to allocate a product ID for each product, you must put add, all lower case, in the first column (ID column).
Pearl requires that the brands, options and option values match those already existing on the system, for instance Xsmall in your spreadsheet will not match X-small existing on the Pearl system. The case (capitalisation) does not need to match, so in the above example X-small will match x-small.
To see a typical spreadsheet of products in the Pearl format, visit the demo admin area and click Products->Import/Export from the main menu.
- Export a selection of products; choose by brand or category.
- Open the file using Excel
You'll see the list of products that you exported. You can make changes to these products if required; since the first column contains the product ID, when the file is imported back into Pearl the product will be updated. To create new products, use the same format of file but make sure that the first column contains only the word add.
Notes
The category specified for the product must already exist on your Pearl system. Because there is only one column to specify the category, this category name must be unique. For example, you should create your category tree so that there is no ambiguity;

The left hand structure is not ideal since Pearl will not know which category to place the imported items into.
The brand specified for the product must already exist on the Pearl system.
If you import a spreadsheet with errors, Pearl will not create any of the products. The whole spreadsheet needs to be free from errors before any product is inserted or updated.
You can update and insert different products in the same spreadsheet.
