Creating a Project
To create a new project, visit Projects->Project list from the main menu, or open the projects side-panel by clicking the project icon and use the form at the top. Once you have created the project, open the settings to change the start date, end date and other parameters. The creator of the project will automatically be added as a contact with all privileges.
Adding Workers
If you need to add workers (other staff members or subcontractors/clients), open the project settings either from the Projects->Project List screen or using the link on the Projects side-panel. In the Contacts tab, use the search form on the right hand side, tick the contacts required then click “add contacts”. This will add the selected contacts to the project and will automatically save any changes made to the settings screen. These contacts will now be available to add to jobs. Choose the contacts’ access permissions and save the changes.
Note that only team members who have been allowed access to the project settings will be able to add or remove other team members.
Adding Clients
Adding clients is done in the same way as adding team members. A client is defined as someone who can receive invoices (tick the “billto” column in the project settings). If required you can also tick the “add notes” column to allow clients to add notes to the project using your online collaboration area.
Costs and Revenues
If you are using Pearl accounting, then you can see a detailed breakdown of costs and revenues associated with projects. All active projects will be available to assign to accounting entries in the Pearl Accounting screens. The project summary screen shows a breakdown of the quoted, upcoming and invoiced revenues against the costs for a project profit overview.
When in a Sale Order or Purchase Order, make sure the project is selected in the “Other/Payment info” tab.

Closing a Project
When the project is closed, visit the project settings and tick the “closed” box. The project will be locked (no more jobs or time can be added), and a note will be added to the notes trail. You may re-open the project at a later date if required by un-ticking the “closed” box. Only project administrators can close the project.
Use the Projects->Project List screen to search a list of projects for the one you need. You can also use the Project sidepanel; click the project icon on the left menu bar. Projects will be listed by name and also by client. You will only be able to see projects where you are part of the team.
Deleting a Project
You can only delete a project if no time has been added to any of the project jobs. Delete a project from the Projects->Project List screen.
