How we manage your upgrade to Pearl

One of the Pearl team will meet with you to tailor a package that best fits with your business. In addition to providing you the Pearl system, we can handle your web design, re-engineer any un-ordered data or program bespoke enhancements to Pearl.

Set up your Pearl account

When we receive your set up fee, we start work to transition your business from existing systems on to the Powerful Pearl Business Management System. 50% of any additional fees e.g. web design, bespoke system modifications is also due now.

Transition Project : Kick off

To ensure your transition to Pearl goes smoothly, we will assign a Project Manager who will create a project plan that outlines timescales agree with you, work to be done and coordinate the project team. Using the Pearl Project Management Web Portal, you can track project progress, share documentation and make comments on specific jobs.

Organise your existing business data

Before importing your existing business data into Pearl (e.g. contact database, product lists accounts, etc.), it may need to be re-organised to follow a consistent format. We can support you with this... our data engineers are great at re-engineering unruly databases.

Prepare your Pearl system for import of data

The product category tree defines the structure of your data in Pearl – it is quick and easy to set up before importing data using the simple Pearl import/export facility.

Customise accounts and system templates

Enter all your company accounts information (e.g nominal codes/chart of accounts & trial balance) and decide what date to cease using your old accounting system and start using Pearl. Configure the document templates that your business needs - quotes, invoices, emails, delivery notes, etc. We can help design the templates to give a really professional finish.

Design and build your new website

You can use the Pearl web content management system to build your new website or we can do it for you. To take payments through the website, you will need a merchant account with a payment provider (e.g. Protx or Secpay). Please read the help documentation that contains more information specifically about setting up a website and online shop.

Regular checkpoint meetings

The Pearl project manager will arrange a weekly call/meeting with you during the Transition to discuss project progress, risks and issues. We want to make sure that your transition to Pearl has minimum impact on your “business as usual” - it is our experience that projects without regular, clear communication are more likely to run into unexpected problems.

Training

Pearl is a powerful business management system with a broad range of functionality. We will arrange a “Quick Start” online training session to show you how use Pearl, however clients who book onto our face-to-face training session tell us that learning more about Pearl simplifies their business and saves them time.

Go live!

Once your new Pearl account has been configured and thoroughly tested, we will cut over from your existing business systems to Pearl and launch your new website on an agreed date.

Technical support

Once you are Live on Pearl, you are not left alone... we will stay in regular contact, if there are any problems, we will be there to support you via our on-line helpdesk system, email, MSN or the good old telephone.
